Dear Grand Estuary V Members,
In recent days since world health officials have announced the coronavirus reaching pandemic levels, unprecedented precautionary cancelations of public gatherings and events have become prevalent. Your Board of Directors recognizes the seriousness of this health event, and people’s concerns of potentially being exposed to the virus by attending communal meetings. Considering that your annual meeting is coming up next week (March 31st, 2020), and to maintain functionality of the Association, your Board feels it is prudent to take the following actions:
· Hold a limited teleconference meeting on the scheduled date and time with Board members and management only for the purpose of:
a) Seating the members that declared candidacy for the Board, which the number of candidates responding did not exceed the number of available Board seats, therefore not requiring an election.
b) The seated Board will elect officers of the Board as permissible by statute.
c) Reschedule a continuation of the annual meeting for a later date to be determined once the crisis levels subside.
The Board views this action to be the safest way to permit the Association to continue to operate without interruption as a result of delaying the other components of the annual membership meeting. As the Association has already approved the 2020 Budget, no membership elections were required at the annual membership meeting, and your new Board and Board officers will be seated for governance of the Association.
As the annual meeting date will be determined in the future, if any members have questions or comments they would like to have response from the Board, please send those questions and comments by replying to the email addresses on this notice. The Board or management will respond accordingly to such questions and comments.
